I own a wedding venue, which means I’ve heard hundreds of tour questions — and noticed which ones couples wish they’d asked before signing. This is the checklist I’d hand my own sister: 25 questions, organized by topic, with notes on why each one matters. Bring it to every tour, including ours.

Money questions

1. What exactly does the rental fee include? The single most important question. Two venues can quote the same price where one includes tables, chairs, and setup and the other charges for every folding chair. (For the record: our pricing includes gold Chiavari chairs, tables, setup, and breakdown.)

2. What’s not included that most couples end up paying for? A fair venue answers this instantly.

3. How much is the deposit, and when are the remaining payments due?

4. What’s the cancellation and reschedule policy, in writing?

5. Are there different rates by day of week or season? Fridays, Sundays, and weekdays are commonly 15–40% less than Saturdays — real money if your date is flexible.

6. Are taxes and service fees included in the quoted price?

Vendor questions

7. Can we bring our own caterer, or is catering in-house/required? This one reshapes your entire budget. Open-vendor venues let you spend where you care; required-catering venues bundle it.

8. If vendors are open, what do they need to provide? Standard answer: licensing and liability insurance.

9. Is there a real prep kitchen for the caterer? A caterer working off two folding tables in a hallway affects your food.

10. Can we choose our own bartender, and is there an actual bar? Ask to see it.

11. Are there noise limits or a sound system DJs can plug into?

Space and capacity questions

12. What’s the true seated capacity — with a dance floor? A “seats 150” room often seats 110 once the band and dance floor exist. Ask for the number with your layout.

13. Can we see a floor plan with our guest count?

14. Is there a separate space for cocktail hour? A balcony, patio, or lounge lets the room flip and gives your event a second scene.

15. Where do wedding-party members get ready, or where do guests wait if we do a room flip?

16. Is the venue accessible — elevator, ADA restrooms — for every guest on our list?

Timing questions

17. How many hours does the rental include, and what do overtime hours cost?

18. Does setup and breakdown time come out of our rental hours? An “8-hour rental” where vendors need two hours on each end leaves four for the party. Get clarity.

19. What time must music stop and guests leave?

20. When can vendors load in, and is there an elevator or ramp for them?

The fine-print questions

21. How many events do you host per day? One-event-per-day venues can’t double-book your timeline.

22. Who from the venue is on site during our event?

23. What’s the rain/weather plan for any outdoor space?

24. What insurance do we need as the couple, if any?

25. What do couples say afterward they wish they’d known? My favorite question. An honest venue has an honest answer.

How to use the answers

Don’t look for a venue that “passes” all 25 — look for one that answers all 25 without flinching. Vague answers about what’s included, what things cost, or when vendors can arrive are how a beautiful tour becomes a stressful contract.

And ask for everything in writing. Every reputable venue expects that; the ones that resist are answering question 26 for you.
